By completing your registration you confirm that you have read, understood and agree to these Terms and Conditions. The current version is always available at www.orenwellness.co.uk/terms-conditions. If anything here is unclear, please ask us before you join. We are always happy to talk it through.

Key membership terms at a glance

This summary is here for ease of reading. The full terms below are what apply.

  • Credit-based Memberships may have a minimum term of 3, 6 or 12 months, paid monthly. Your rate reflects the commitment you choose. Certain discontinued Legacy Memberships operate on a rolling monthly basis.

  • Reformer classes use 3 Credits. Mat and On-Demand Reformer classes use 2 Credits each. Recovery is booked separately at your discounted member rate.

  • Unused Membership Credits roll over from month to month while your Membership remains active and expire when your Membership ends.

  • You can change your mind within 14 days of joining, subject to the conditions set out below, including deductions for services already used where applicable.

  • Leaving during a Minimum Term is possible for a capped early release fee. This may be waived in genuine circumstances such as serious illness, pregnancy, redundancy or moving away.

  • Legacy Memberships operate on a rolling monthly basis and can be cancelled with at least 30 days' written notice.

  • If you move from a Legacy Membership to a new credit-based Membership, a new Minimum Term begins from the agreed start date of your new Membership.

1. Definitions and interpretation

1.1 In these Terms and Conditions the following definitions apply:

"OREN" means OREN Wellness Limited, a company registered in England and Wales under company number 15591825, with its registered office at 23 Heol Y Deri, Rhiwbina, Cardiff, CF14 6YF, trading as OREN Wellness, together with any studio it operates. The Studio's current trading address is available on the Website.

"Class" means a class provided by or on behalf of OREN at the Studio or online.

"Class Pack" means a package entitling a Client to a set number of classes or Credits before its expiry date.

"Class Spot" means an allocated place in a Class, subject to capacity and booking rules.

"Client" means any person who has completed a Registration Form accepted by OREN.

"Credit" means the unit used to book eligible classes under a Membership or other applicable Package. Reformer classes cost 3 Credits, and Mat and On-Demand Reformer classes cost 2 Credits each, unless otherwise stated by OREN.

"Instructor" means a qualified staff member or contractor engaged by OREN to lead a Class.

"Legacy Membership" means a discontinued OREN Membership that is no longer available for general purchase but continues to be held by an existing member on a rolling monthly basis.

"Membership" means an OREN membership, including a credit-based 3 Month, 6 Month or Annual Membership and, where applicable, a Legacy Membership.

"Minimum Term" means the initial committed period of a fixed-term Membership, being 3, 6 or 12 months as applicable. Legacy Memberships do not have a new fixed Minimum Term and operate on a rolling monthly basis.

"Package" means any product a Client may buy, including a Class Pack, drop-in class, Recovery pack and Membership.

"Recovery" means a Recovery Suite session, booked separately rather than using standard Membership Credits unless expressly stated otherwise.

"Registration Form" means the registration or application form completed by a Client, electronically or otherwise.

"Studio" means the OREN Wellness studio in Cardiff, and any further studio published on the Website.

"Website" means www.orenwellness.co.uk.

1.2 These Terms and Conditions are incorporated into the Registration Form, and every Package is subject to them as amended from time to time.

1.3 OREN may reasonably vary these Terms and Conditions where necessary for the running of the Studio or the conduct of Clients. Any changes will be published on the Website. Where a change materially affects you during a Minimum Term, condition 3.6 applies.

1.4 References to the singular include the plural and vice versa.

2. Becoming a Client and buying a Package

2.1 A person becomes a Client once they have completed a Registration Form that OREN has accepted. No one may receive services without first completing a Registration Form.

2.2 Acceptance of a person as a Client is at OREN's reasonable discretion.

2.3 A person stops being a Client when they ask for their account to be closed. The limitation of liability in condition 9 continues to apply afterwards.

2.4 Packages expire in line with the specific terms given at the time of purchase.

2.5 OREN may suspend, expel or decline to renew a Client whose conduct breaches these Terms and Conditions or is, in OREN's reasonable opinion, damaging to the Studio or other Clients. This right is limited to genuine breaches of conduct and will not be exercised without reason. A Client suspended or expelled for such conduct is not entitled to a refund, except where required by law.

2.6 A Client may attend Classes according to the Package they hold.

2.7 Prices for all Packages are as published by OREN at the Studio, on the Website, through OREN's booking platform or otherwise communicated to the Client. Prices include VAT where applicable.

Not every Membership option is necessarily publicly advertised or available for online purchase. OREN may offer certain Membership options directly at the Studio or to individual Clients.

2.8 Except where these Terms and Conditions or your statutory rights provide otherwise, payments for Packages are non-refundable. A Client is not entitled to a refund or replacement solely because a particular Instructor is not provided.

2.9 Change of mind within 14 days. A Client may cancel a Package bought online at any time up to the end of the 14th day after receiving confirmation of the order, subject to their statutory rights and any services they have expressly requested to begin during that period.

Where the Package has not been used, a full refund will be provided where the statutory cancellation right applies.

Where the Client has requested that services begin during the cancellation period and has used part of the Package, OREN may deduct an appropriate amount for services supplied before cancellation, where permitted by law.

To cancel, notify OREN in writing at oren@orenwellness.co.uk. Any refund due will be made within the applicable statutory timeframe.

2.10 A Package may only be used by the person who bought it unless OREN expressly states otherwise. Packages, Memberships and Credits cannot be shared, transferred or sold to another person.

2.11 Introductory offers are limited to one per person unless expressly stated otherwise. Anyone found to have bought an introductory offer more than once, whether through one account or several, may have the additional offer removed. Any services already used may be charged at the applicable standard rate.

2.12 OREN operates minimum age requirements for its Classes and facilities. To confirm eligibility, OREN may ask a Client to provide valid photographic identification when registering or before their first visit. This will only be used to verify age and identity and will be handled in accordance with OREN's Privacy Policy.

Clients aged 16 or 17 may participate only in eligible OREN Classes and must comply with OREN's under-18 requirements, including completion of any required parent or legal guardian consent and waiver.

The Recovery Suite is strictly for Clients aged 18 and over.

OREN may decline or suspend access where required identification or consent is not provided, or where a Client does not meet the applicable minimum age requirement.

3. Memberships and Credits

3.1 This condition 3 applies to Clients holding a Membership, including 3 Month, 6 Month and Annual credit-based Memberships and Legacy Memberships where applicable.

3.2 New credit-based Memberships have a Minimum Term of 3, 6 or 12 months, depending on the Membership selected, unless otherwise agreed in writing by OREN.

Not all Membership terms are necessarily publicly advertised or available for online purchase. Your applicable rate and Minimum Term will be shown or communicated to you before you purchase or agree to the Membership.

3.3 Membership fees are paid monthly by direct debit or card from the agreed start date of your Membership and remain payable whether or not you use the Studio.

3.4 Each credit-based Membership provides a set number of Credits each month.

Reformer Classes cost 3 Credits. Mat and On-Demand Reformer Classes cost 2 Credits each.

Recovery is booked separately and is not deducted from standard Membership Credits. See condition 6.

3.5 Credit rollover. Unused Membership Credits roll over from month to month for as long as the Membership remains active.

Rolled-over Credits expire when the Membership ends. They have no cash value and cannot be transferred or refunded.

3.6 Changes to Membership Pricing or Benefits

OREN may reasonably amend Membership pricing, benefits, inclusions or other Membership features from time to time.

Where a price increase or material reduction in Membership benefits is due to take effect during a Member's Minimum Term or renewal term, OREN will provide reasonable notice of the change.

If a material change is made during the Member's Minimum Term and the Member does not wish to continue their Membership as a result, they may request to cancel their Membership without an early release fee before the change takes effect.

Changes that do not materially reduce the overall Membership offering, including reasonable operational changes to the way a benefit is accessed or administered, will not automatically give rise to a right to cancel.

3.7 Where fees are paid by card or direct debit, the Client authorises OREN to collect the monthly Membership fee and any other charges properly due under these Terms and Conditions, including applicable late-cancellation or no-show fees, when they fall due.

3.8 First 50 Annual Memberships

First 50 Annual Membership pricing is a special introductory rate available for the initial 12-month term of the Membership only.

The introductory First 50 rate is guaranteed for those initial 12 months and will not increase during that term.

During the 11th month of the Membership, OREN will contact First 50 Annual Members with details of their renewal options and the price that will apply if they choose to continue for a further 12-month Annual Membership term.

In recognition of their First 50 status, members who continue on an Annual Membership will be offered a preferential First 50 renewal rate.

The preferential First 50 renewal rate may be higher than the introductory First 50 rate paid during the initial 12-month term and may change at future renewals. The introductory First 50 rate is therefore not a lifetime or permanently fixed rate.

Before the end of their current 12-month term, a First 50 Annual Member may:

a) continue onto a further 12-month Annual Membership at the First 50 renewal rate communicated by OREN;

b) request to move onto the then-current 3 Month Membership and applicable pricing; or

c) cancel their Membership at the end of their current term.

Any request to cancel or move to a 3 Month Membership must be made in writing to OREN at least one calendar month before the end of the current Annual Membership term.

If OREN does not receive a cancellation or change request within that notice period, the Membership will automatically renew for a further 12-month term at the First 50 renewal rate communicated to the member before renewal.

Preferential First 50 renewal pricing is available while the member continues to renew their Annual Membership without interruption.

If a First 50 Annual Membership is cancelled or allowed to lapse, the member's First 50 preferential pricing and renewal benefits will end. Any Membership taken out at a later date will be subject to the Membership options, terms and pricing available at that time.

3.9 Legacy Memberships

Certain Memberships that are no longer available for general purchase may continue to be held by existing OREN members as Legacy Memberships.

Legacy Memberships operate on a rolling monthly basis and do not have a new fixed Minimum Term.

A member may cancel a Legacy Membership by providing OREN with at least 30 days' written notice. Membership fees and access will continue during the applicable notice period.

Legacy Memberships are personal to the member and cannot be transferred to another person.

A member on a Legacy Membership may choose to move onto one of OREN's current credit-based Memberships, subject to the Membership options and pricing available at that time.

If a member moves from a Legacy Membership to a new credit-based Membership, the Legacy Membership will end and the terms of the new Membership will apply.

A new Minimum Term begins from the agreed start date of the new credit-based Membership. Time previously spent on a Legacy Membership does not count towards or reduce the Minimum Term of the new Membership.

For example, if a Legacy Member moves onto a 3 Month Membership, a new three-month Minimum Term begins from the agreed start date of that Membership. If they move onto a 6 Month Membership, a new six-month Minimum Term begins. If they move onto an Annual Membership, a new 12-month Minimum Term begins.

Once a member has moved away from a discontinued Legacy Membership, they will not normally be able to return to that Legacy Membership. Any future Membership will be subject to the options, pricing and terms available at that time.

3.10 Guest Passes

Certain OREN Memberships include guest passes as part of their membership benefits. The number and frequency of guest passes available will depend on the Membership held and will be as stated at the time of purchase.

Using a Guest Pass

To use a guest pass, the Member must book themselves onto an eligible class and select "Add a Guest" when making or managing their booking. The guest pass will then be deducted from the Member's account.

Guest passes are subject to availability and may only be used for eligible OREN classes. They cannot be exchanged for cash, account credit, Membership credits or any other benefit.

The same guest may attend OREN using a Member's guest passes three times in any 12-month period. OREN reserves the right to reasonably amend this limit where required to ensure the benefit operates fairly and sustainably for Members and the Studio.

The Member is responsible for ensuring that their guest is eligible to participate in the class booked. All guests must comply with OREN's Terms and Conditions, studio policies, age requirements and any applicable health, safety, waiver or participation requirements.

Guest bookings are subject to the same cancellation and no-show rules as other bookings. Where a guest booking is cancelled late or the guest does not attend, the guest pass may be forfeited and any applicable late cancellation or no-show fee may apply.

Changes to Guest Passes

Guest passes are an additional Membership benefit. OREN reserves the right to reasonably amend the number, frequency, eligibility, permitted use or availability of guest passes, or to withdraw the benefit, where reasonably necessary for the operation or commercial sustainability of OREN.

Where we make a material change to the guest pass benefit that affects a Member during their Minimum Term, we will provide reasonable notice and the provisions relating to material Membership changes in these Terms and Conditions will apply.

4. Cancelling or changing your Membership

4.1 After your Minimum Term

What happens after your Minimum Term depends on the Membership you hold.

3 Month Memberships

Once the initial 3 Month Minimum Term is complete, the Membership continues on a rolling monthly basis at the applicable rate. It does not automatically enter another fixed three-month term.

Once the Minimum Term has been completed, you may cancel at any time by giving one calendar month's written notice.

You will retain full Membership access during your notice period, which will be billed as usual, and your Membership will then close.

6 Month and Annual Memberships

Unless different renewal terms apply to your specific Membership, a 6 Month or Annual Membership will renew for a further term of the same length, being 6 or 12 months respectively, at the applicable renewal rate communicated to you before renewal.

To prevent your Membership from renewing, you must give OREN at least one calendar month's written notice before your current term ends.

Your Membership will then close at the end of the current term.

If you wish to leave partway through a renewed fixed term, condition 4.3 applies.

First 50 Annual Memberships are also subject to the specific renewal provisions in condition 3.8.

Legacy Memberships

Legacy Memberships do not have a fixed Minimum Term and continue on a rolling monthly basis.

They may be cancelled by providing OREN with at least 30 days' written notice in accordance with condition 3.9.

4.2 Change of mind. The 14-day change-of-mind provisions in condition 2.9 apply to new Memberships.

4.3 Leaving during your Minimum Term

If you need to leave a 3 Month, 6 Month or Annual Membership before your current fixed term is complete, whether during your initial Minimum Term or a later fixed renewal term, you may do so by paying an early release fee.

The early release fee will be the lower of:

a) £250; or

b) the total value of the Membership payments remaining in your current fixed term.

The fee will therefore never exceed the amount you had committed to pay for the remainder of that term.

Your Membership will close at the end of your current paid month once the applicable early release arrangements have been agreed.

Requests must be made in writing to oren@orenwellness.co.uk.

This early release fee does not apply to Legacy Memberships, which are governed by the 30-day notice provisions in condition 3.9.

4.4 When the early release fee is waived

We will waive the early release fee and instead ask for one month's notice, together with reasonable supporting information where appropriate, if you are affected by any of the following:

  • A serious illness or injury that prevents you from exercising for more than four weeks;

  • Pregnancy;

  • Redundancy or a significant loss of income;

  • A move that takes you out of reasonable reach of the Studio, being more than three miles away or otherwise out of the area.

In many of these situations a Membership freeze may suit you better than cancelling, so please talk to us first.

4.5 Freezing your Membership

If you need a temporary pause rather than ending your Membership, you may request a Membership freeze.

Annual Memberships may be frozen for up to one month per year.

3 Month and 6 Month Memberships may be frozen for up to two weeks per year.

A freeze will normally be arranged to coincide with your payment date. Your Membership place and applicable rate will be held during the agreed freeze.

Any use of the Studio during the agreed freeze period will end the freeze.

Legacy Membership freezes are subject to the terms applicable to the individual Legacy Membership and OREN's agreement.

4.6 Upgrading, downgrading and changing Memberships

You may request to upgrade your Membership at any time.

Downgrades are subject to OREN's reasonable discretion and the terms of your existing Membership.

If you move from one fixed-term Membership to another, a new Minimum Term begins from the agreed start date of the new Membership.

If you move from a Legacy Membership to a credit-based Membership, condition 3.9 applies and a new Minimum Term begins from the agreed start date of the new Membership.

Time already spent on a previous Membership does not count towards or reduce the Minimum Term of the new Membership.

4.7 How to cancel

All Membership cancellation requests must be made in writing by emailing oren@orenwellness.co.uk.

OREN will confirm your applicable closing date in writing.

For fixed-term Memberships, OREN will aim to send a reminder around 30 days before your Minimum Term or renewal term ends so that your renewal does not take you by surprise.

First 50 Annual Members will be contacted during their 11th month with their renewal options and applicable First 50 renewal pricing, as set out in condition 3.8.

Legacy Members may cancel at any time by providing at least 30 days' written notice in accordance with condition 3.9.

5. Drop-ins, Class Packs, bookings, cancellations and waitlists

5.1 Drop-ins and Class Packs

5.1.1 A drop-in Class is a single Class bought individually at the published rate. It is valid in accordance with the terms stated at purchase and is non-refundable except where these Terms and Conditions or your statutory rights provide otherwise.

5.1.2 A Class Pack entitles you to a set number of Classes or Credits to be used within the validity period stated at the time of purchase.

Any Classes or Credits remaining at the end of the stated validity period expire and cannot ordinarily be extended, paused or refunded.

5.1.3 Class Packs are paid for in full at the point of purchase. They are personal to the Client who bought them and cannot be shared, transferred or sold. Credits held in a Class Pack have no cash value.

5.1.4 Class Packs do not include OREN member perks unless expressly stated otherwise. Member perks remain exclusive to eligible Memberships.

5.2 Booking Classes

Classes may be booked in advance through the Website, OREN app or other booking method made available by OREN.

5.3 Cancelling a Class

You may cancel a Class up to 12 hours before it is due to start and the applicable Credit or class pass will be returned to your account.

If you cancel within 12 hours of the Class starting, or do not attend, the applicable Credit or class pass will be forfeited and a £5 late-cancellation or no-show fee will apply.

5.4 Private sessions

Private 1:1 sessions require at least 24 hours' notice to cancel or reschedule.

A session cancelled with less than 24 hours' notice is forfeited and will not be refunded or carried over.

Where more than 24 hours' notice is provided, the session may be rearranged within two months, subject to availability.

5.5 Arriving late

For safety and for the experience of other Clients, no entry to a Class is possible after it has started.

If you miss a Class because you arrive late, OREN may, where possible and at its discretion, place you into another suitable Class that day with availability.

5.6 Checking in

Please check in at least five minutes before your Class begins.

If you have not checked in and have not let the team know you are on your way, your Class Spot may be released to a waiting Client.

5.7 Waitlist

If a Class is full, you may join the waitlist through the booking platform.

OREN operates a first come, first served waitlist. If a space becomes available, OREN will notify Clients on the waitlist in turn. A place is not assigned automatically: you will need to accept the notification and book yourself into the Class to secure it.

A Credit or applicable pass may be held when you join the waitlist so that it is available if you receive a place. If you do not book into the Class, the Credit or pass will be returned to you.

If you can no longer attend, please remove yourself from the waitlist as early as possible so your place can be offered to someone else.

Once you have booked yourself into a Class from the waitlist, OREN's usual cancellation and no-show policy applies.

The waitlist currently closes one hour before the Class begins. After this time, Clients may contact OREN directly regarding any remaining availability.

6. Recovery

6.1 Recovery sits outside OREN's standard Membership Credit system. Recovery sessions are booked separately at the published rate, with eligible members receiving the applicable member rate or discount.

Eligible members may be offered the option to add a Recovery bolt-on or other Recovery Package to their Membership. Where available, this will be communicated directly to the Member, for example by email following the start of their Membership, and any bolt-on or Package taken is on the price and terms published by OREN at the time.

6.2 Recovery packs and bolt-ons may be purchased where available. Their renewal, expiry and usage terms will be stated at the time of purchase.

One-off Recovery packs do not automatically renew unless expressly stated otherwise.

6.3 Recovery Suite sessions must always be booked in advance. Access is by appointment only and the Recovery Suite cannot be used without a booking.

The Suite has limited capacity and sessions are booked accordingly. Clients must keep to their booked time to ensure that the space remains safe and does not exceed capacity.

6.4 The Recovery Suite includes ice baths, an infrared sauna and red light therapy.

Before your first session, you must read and follow the OREN Recovery Suite guidance, which explains how to use each facility safely, recommended usage times and health conditions requiring caution.

This guidance is available from OREN and forms part of these Terms and Conditions.

6.5 The Recovery Suite is strictly for Clients aged 18 and over.

You must not use the Recovery Suite if you are pregnant, currently unwell, have a communicable illness, or have open wounds, cuts or active skin infections.

You must not use the ice baths if you have had diarrhoea in the previous 14 days.

If you have a heart condition, high blood pressure, Raynaud's syndrome, epilepsy or a history of seizures, take medication affecting circulation, blood pressure or light sensitivity, or are recovering from recent surgery, you should obtain appropriate medical advice before using the Recovery Suite.

By using the Recovery Suite, you confirm that you have considered whether it is appropriate for you and have sought medical advice where required.

6.6 Use of the Recovery Suite involves inherent risks. You must follow OREN's guidance and recommended times for each facility, keep to your booked session and leave a facility immediately if you feel dizzy, lightheaded or unwell.

OREN's team are not medically trained and cannot assess whether use of the Recovery Suite is suitable for you.

The young person may also be required to read and sign OREN's Under-18 Participation Agreement.

Clients aged 16 or 17 must be accompanied by an adult where required by OREN.

The Recovery Suite is strictly for Clients aged 18 and over.

9. Limitation of liability

9.1 Neither OREN nor its staff or agents is liable for loss, damage or theft of property brought onto or left at the Studio, except where caused by OREN's negligence or where liability cannot lawfully be excluded.

9.2 It is your responsibility to use equipment appropriately, follow instructions and make OREN aware of anything relevant to your safe participation.

If you are unsure how to use any equipment, you must ask an Instructor or member of the team before using it.

9.3 OREN does not exclude or limit liability for death or personal injury caused by its negligence, fraud or fraudulent misrepresentation, or any other liability that cannot lawfully be excluded or limited.

Subject to those rights and protections, Clients acknowledge that exercise and use of wellness facilities involve inherent risks and are responsible for following the safety guidance and instructions provided by OREN.

9.4 Nothing in these Terms and Conditions affects your statutory rights as a consumer.

10. Use of facilities

10.1 OREN may temporarily withdraw all or part of its facilities or Classes where reasonably necessary for cleaning, maintenance, repairs, safety, staffing, events or circumstances beyond OREN's reasonable control.

Where practical, OREN will provide notice.
