This policy explains how OREN Wellness collects, uses, and protects your personal information. We take your privacy seriously and only ever use your information to look after you well and run the studio properly. If anything here is unclear, please ask us. We are always happy to explain.

1. Who we are

OREN Wellness Limited is the data controller responsible for your personal information. We are a company registered in England and Wales under company number 15591825, trading as OREN Wellness, based in Cardiff.

2. The information we collect

Depending on how you interact with us, we may collect:

  • Contact and account details — your name, email address, phone number, and any details you give when registering.

  • Booking and attendance information — the classes and sessions you book, attend, or cancel, and your membership or pack details.

  • Payment information — details needed to take payment. Card details are handled by our secure payment providers, not stored by us directly.

  • Health information — any health, injury, pregnancy, or medical details you choose to share with us so we can keep you safe in class. This is treated with extra care (see section 4).

  • Marketing preferences — whether you have agreed to hear from us, and how you like to be contacted.

  • CCTV footage — images captured by cameras in and around the studio for safety and security (see section 8).

  • Website information — basic technical data and cookies when you use our website (see section 9).

3. How we collect it

We collect information when you complete a registration form, book or buy through our website or booking system, join our waitlist, sign up to hear from us, speak with our team, or use the studio. Some information, such as CCTV and website data, is collected automatically.

4. How and why we use your information

Under data protection law, we must have a lawful basis for using your information. We rely on the following:

  • To provide our services (our contract with you): managing your membership or packs, taking bookings and payments, and communicating with you about your account.

  • To run the studio well (our legitimate interests): keeping accurate records, improving our classes and service, preventing fraud, and keeping the studio safe and secure.

  • To keep you safe (your explicit consent, for health information): where you share health or medical details, we use them only to look after your wellbeing in class. You can ask us to update or remove these at any time. This is special category data and is handled with additional care.

  • To send you marketing (your consent): we only send marketing where you have agreed, and you can opt out at any time.

  • To meet legal obligations: for example, keeping financial records as required by law.

5. Marketing

We will only send you marketing communications, such as news, offers, and studio updates, where you have agreed to receive them. Every marketing message includes a simple way to opt out, and you can also unsubscribe at any time by contacting us. Opting out of marketing does not affect the essential messages we need to send about your bookings or membership.

6. Who we share your information with

We never sell your information. We share it only with trusted providers who help us run the studio, and only as far as they need it to do so. These include:

  • Our booking and membership system, which stores your account, bookings, and membership details.

  • Our payment providers, who process payments securely.

  • Our email and messaging tools, used to send you communications you have agreed to or that relate to your account.

  • Professional advisers, such as our accountants, where necessary.

We may also share information where we are legally required to, or to protect the safety of our clients, team, or studio.

7. Sending information outside the UK

Some of the providers we use may store or process information outside the UK. Where this happens, we take steps to make sure your information is protected to the same standard as it would be here, using the safeguards required by data protection law.

8. CCTV

CCTV operates in and around the studio for the safety and security of our clients, our team, and the premises. Cameras are not placed in changing areas, the recovery suite, or any private space. Footage is kept only as long as necessary, handled securely, and used only for safety and security. Signage is displayed where CCTV is in use.

9. Cookies and our website

Our website uses cookies and similar technologies to help it work properly, to understand how it is used, and to improve your experience. You can manage your cookie preferences through your browser settings or any cookie banner shown on the site.

10. How long we keep your information

We keep your information only for as long as we need it. In general, we hold your account information while you are a client and for a reasonable period afterwards, and we keep financial records for as long as the law requires. CCTV footage is held only for a short period unless needed for a specific safety or security reason. When we no longer need your information, we delete or anonymise it securely.

11. Your rights

You have the right to:

  • Ask for a copy of the information we hold about you.

  • Ask us to correct anything that is wrong or incomplete.

  • Ask us to delete your information, where there is no reason for us to keep it.

  • Ask us to restrict or object to how we use your information.

  • Withdraw your consent at any time, where we rely on it.

  • Ask to receive your information in a portable format.

12. How to complain

If you have a concern about how we handle your information, please talk to us first, and we will do our best to put it right. You also have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator, at www.ico.org.uk

We may update this policy from time to time. The current version is always available on our website, and we will make any significant changes clear.
