1. About us and these terms

OREN Retreats Limited ("we", "us", "our"), company number 17250201, registered at 23 Heol Y Deri, Rhiwbina, Cardiff, CF14 6YF, organises wellness retreats. These terms govern your booking with us. By making a booking you confirm you have read and accepted them on behalf of everyone in your party. "You" means the person who makes the booking (the lead booker) and every guest in the booking. "Retreat" means the package you book from us. "Booking confirmation" means the written confirmation we send you when your booking is accepted.

2. Our packages

Each retreat is a package under the Package Travel and Linked Travel Arrangements Regulations 2018, combining accommodation and a programme of organised wellness activities. Guests arrange their own travel to and from the retreat unless we state otherwise. You will receive the required pre-contractual information and the relevant standard information form before you book.

3. Making a booking

All guests must be 18 or over.

A booking is made when you complete our booking process and pay your deposit.

A binding contract forms when we confirm your booking in writing. If we cannot accept your booking, we will refund any payment in full.

The lead booker is responsible for the whole booking, including making payments, passing on information, and ensuring the details provided are accurate.

4. Price and what is included

The price of each retreat, the room types available and what is included are set out on the retreat page and confirmed in your booking confirmation.

We offer different room types at different prices, which may include shared rooms, single occupancy and sole occupancy of a larger room. Room types are limited and are allocated on booking. The room type you have booked is stated in your booking confirmation.

Reduced member pricing is available to active OREN Wellness monthly members at the time of booking. It does not apply to drop-in or class pack clients.

Your price includes accommodation for the retreat dates, the organised wellness activities described for that retreat, and the meals specified in your retreat information.

Your price does not include travel to and from the retreat, airport transfers unless stated, travel insurance, optional add-on activities, and personal expenses.

5. Paying for your retreat

A deposit, in the amount stated at the time of booking, secures your place.

The balance is payable in instalments in accordance with the payment schedule set out in your booking confirmation.

The full balance must be paid no later than the date stated in your booking confirmation, which will be no later than 12 weeks before the retreat start date.

Where you book after the instalment plan has closed for that retreat, the full price is payable at the time of booking.

If a payment fails or is missed, we will contact you. If a payment remains outstanding after we have contacted you, we may treat the booking as cancelled by you and apply the charges in clause 7.

6. Changes by you

If you wish to change your booking, we will try to help but cannot guarantee changes. Changes to room type are subject to availability and to any difference in price.

You may transfer your place to another person who meets the booking conditions, provided you give us at least 7 days' notice before the retreat. A reasonable administration fee and any costs arising from the transfer will apply, and you and the person taking your place are jointly responsible for any outstanding balance.

7. Cancellation by you

If you cancel, the following charges apply to the total retreat price, based on how far before the start date we receive your written cancellation:

12 weeks or more: deposit only
8 to 12 weeks: 50% of the total price
4 to 8 weeks: 75% of the total price
Under 4 weeks: 100% of the total price

The deposit is not refundable where you cancel, except where these terms or the Package Travel Regulations 2018 provide otherwise, including where we cancel the retreat, where we make a significant change you do not accept, or where unavoidable and extraordinary circumstances apply.

If you have paid more than the applicable charge, we refund the difference. If you have paid less, the balance up to the charge remains due. We strongly recommend travel insurance that covers cancellation.

8. Minimum numbers

Each retreat requires a minimum number of bookings to go ahead. The minimum number for your retreat is stated on the retreat page and in your booking confirmation.

If we do not reach that minimum, we may cancel the retreat and will refund in full everything you have paid to us, including your deposit. No compensation is payable where we cancel for this reason.

We will tell you as soon as we reasonably can, and in any event no later than 20 days before the start date for retreats lasting more than six days, 7 days before for retreats lasting between two and six days, and 48 hours before for retreats lasting less than two days.

9. Changes or cancellation by us

We may make minor changes to your retreat and will let you know in advance where we can.

If we have to make a significant change to the main elements of your retreat, or cancel it, we will tell you as soon as possible. You may then accept the change, accept a replacement retreat if offered, or cancel and receive a full refund.

We will not be liable to pay compensation where a change or cancellation is caused by unavoidable and extraordinary circumstances (see clause 14), or where we cancel for insufficient numbers under clause 8 within the periods stated there.

10. Financial protection

Your money will be protected by ABTOT (Association of Bonded Travel Organisers Trust) in line with the Package Travel Regulations 2018, membership number to be confirmed. We will not take a booking or any payment until that protection is in place.

11. Insurance

Travel insurance is a condition of joining the retreat. You must hold a policy that covers, as a minimum, medical expenses and repatriation, and we recommend cover for cancellation and personal belongings. You are responsible for ensuring your cover is adequate for the destination and for the activities included in the retreat.

12. Passports, visas and health requirements

You are responsible for holding a valid passport and any visa or other entry documents required for the destination, and for meeting any health or vaccination requirements. General information on passport, visa and health formalities is provided in your pre-contractual information. Requirements can change, so please check the current position with the relevant authorities before you travel. We are not liable where you are refused entry or unable to travel because you do not hold the correct documents.

13. Your health and participation

You take part in all activities voluntarily and at your own discretion.

You must complete our health and consent form honestly before the retreat and tell us of any medical condition, injury, allergy or dietary requirement that may affect your participation.

Please consult your doctor if you are unsure whether any activity is suitable for you.

We may decline your participation in an activity, or ask you to stop, where we reasonably consider it necessary for your safety or that of others.

14. Unavoidable and extraordinary circumstances

Except where stated in these terms, we are not liable for any failure or delay caused by events beyond our reasonable control, including war or threat of war, civil unrest, terrorism, government action, epidemic or pandemic, natural disaster, fire, adverse weather, and similar events. Your statutory rights under the Package Travel Regulations, including the right to cancel without charge where unavoidable and extraordinary circumstances significantly affect the retreat or travel to the destination, are unaffected.

15. Behaviour

We want every guest to enjoy the retreat. If your behaviour, in our reasonable opinion, causes or is likely to cause danger, distress or damage, we may ask you to leave. In that event we have no further responsibility to you, including for any return travel or refund.

16. Our responsibility

We accept responsibility for arranging the retreat with reasonable skill and care, and for the proper performance of the services in your package, in line with the Package Travel Regulations.

We are not responsible for services or activities that do not form part of your package.

Where we are liable, our liability is limited as permitted by law and by the terms of the relevant supplier's conditions, and we are not liable for losses that were not foreseeable at the time of booking.

Nothing in these terms limits our liability for death or personal injury caused by our negligence, or for any other liability that cannot lawfully be limited.

17. Special requests and dietary requirements

Please tell us of any special requests, including dietary requirements, at the time of booking so we can plan ahead with the venue. We will pass requests on but cannot guarantee they will be met. Where a requirement is essential to your safety, please tell us before you book so we can confirm whether it can be accommodated.

18. Complaints

If something is not right during the retreat, please tell us or the venue straight away so we can try to put it right. If the matter cannot be resolved at the time, please write to us at retreats@orenwellness.co.uk within 28 days of the retreat ending, and we will respond.

19. Data protection

We handle your personal information in line with our privacy policy, which explains how we collect, use and protect it.

20. Governing law

These terms, and any dispute arising from them, are governed by the laws of England and Wales, and are subject to the exclusive jurisdiction of the courts of England and Wales.
